User research repository / knowledge management inside Miro?

Dear Community,
we're planning to set up a user research repository or a knowledge management tool in our company. I've looked through a dozen of tools and we're also considering Miro as one of the options, since we use it anyway.

Do you have any tips on setting it up inside Miro? Here are my questions
1. Is it possible to search between boards, for example search by tags that are used in multiple boards? I'm afraid that building one huge board will make it unusable after some time.
2. The main advantage of using research repository tools, is that there you work with raw transcripts of audio/video, which then are highlighted, tagged and can be moved around. Any tips on linking/ connecting transcripts to Miro? The obvious solution is copy paste interesting parts to a spreadsheet and then import them all as notes/ cards. But maybe there's something else.
3. Any plans to have search within documents, e.g. attached PDFs or for OCR (similar to Evernote)?

Here are some links that I've gathered, to explain what I mean

Hi @Andrzej Karel, Thanks for your great questions!

Let me pass them to our Support team for further assistance. I’ve just logged your post as a Support ticket - please expect them to reach out to you.

Hope this helps :)

Hi @Michela, sorry for my late answer. Let me copy-paste the email answers from Miro’s support team, something might be useful for you:

Hi Andrzej!

Thank you for reaching out and addressing your questions. Let me cover them one by one.

Is it possible to search between boards, for example search by tags that are used in multiple boards?

I'm afraid that only the Enterprise plan customers can search for any text across all boards in their account (by board title, description, or text from any widgets, comments, sticky notes, etc.). For other plans, only searching by board title and description is available when using the search bar on the Dashboard. Feel free to check out this handy article for more details - Search in Miro.

However, while on the Miro board, you can definitely search for text on this particular board - Searching Text on the Board.

The main advantage of using research repository tools, is that there you work with raw transcripts of audio/video, which then are highlighted, tagged and can be moved around. Any tips on linking/ connecting transcripts to Miro?

Could you please share more details on these transcripts? What file format do they have? This will be of much help for me to suggest some options for you.

Since you have mentioned the spreadsheet that can be used for that, please, check out the pasting from the spreadsheet feature for Sticky Notes. Simply copy and paste cells to the board - each cell will be pasted as a new sticky note.

Any plans to have search within documents, e.g. attached PDFs or for OCR (similar to Evernote)?

Currently, there is no possibility to search for the text in the files imported to a board

We haven't had a chance to implement this feature yet, but it sounds like a great addition that could enhance our product and make Miro even better, and we already have this request in our Wish List – OCR (Text Recognition), Search and Highlight in PDR, PPT, etc

Feel free to check out the Wish List where you’ll be able to:

  • Submit your ideas
  • Discuss possible workarounds with other Miro users
  • Upvote the features you’d like to see in Miro (Each month, ideas with 50+ upvotes are reviewed by the Product team)
  • Subscribe to email updates when a new topic is added to stay in the loop

Here is a handy guide to get you started on how to navigate the Wish List: Wish List: Everything You Need to Know.

Additionally, please note that Miro can be integrated with some tools you've mentioned - Notion + Miro, Airtable + Miro. Hope these integrations can help to work with several tools since some features are not implemented in Miro yet.

Hope this information comes in helpful! Please, let me know if any additional questions appear. I will be more than happy to assist you further.

Kind regards,

Yulia

Hi Yulia,
thank you for the detailed response.
From what I understand, there is no possibility to search for tags between multiple boards (with the Enterprise plan), correct?

Regarding the transcripts - it's a long text format (eg. Word). It would be possible to break it down into lines/ paragraphs. If you check the links to the other software solutions I've mentioned, eg. Aurelius, you'll see what I mean. https://www.aureliuslab.com/features/

Best regards,
Andrzej

Hi Andrzej!

Thanks for getting back to us and sharing more details on your use case.

I'm afraid searching by tags is only available within one board, but not across boards yet. As a workaround, I'd suggest using text fields instead of tags and group them with a shape or a sticky note to be able to search for them across all boards (on the Enterprise plan).

There is currently no possibility to add tags to text fields or the lines in the text in Miro. This is a great idea to be added to our Wish List!

In the meantime, the workaround with using a spreadsheet and then exporting cells as sticky notes seems the most convenient solution to me. Please, note that you can convert sticky notes into shapes, text or cards afterward:
